Excel has no redact button, so you redact a spreadsheet by overwriting each sensitive cell with a placeholder such as `[REDACTED]`, running Document Inspector (File > Info > Check for Issues > Inspect Document), and saving the result as a new file. Deleting cells alone is not enough: data also persists in hidden sheets, comments, named ranges and pivot table caches, and Document Inspector can miss some of them.

## Where data hides in Excel files

A .xlsx file is a ZIP archive containing XML. When you "delete" a cell value, Excel often retains a reference in the calculation chain, the shared strings table, or the pivot cache. Hidden rows, hidden columns, and hidden worksheets are not visible in the UI but persist in the file. Comments and notes stay attached to cells unless explicitly removed. Named ranges keep references to deleted data. Formulas that pulled from now-deleted cells leave their result in the cell's stored value. The [full Excel redaction guide](/blog/redact-excel-spreadsheets/) covers all 11 places data hides and what Document Inspector misses.

## The right Excel redaction workflow

1. Identify every place sensitive data appears: visible cells, hidden rows or columns, hidden sheets, comments, headers and footers, named ranges, pivot tables, and chart source ranges.
2. Overwrite the cell content with `[REDACTED]` rather than deleting it. Empty cells reveal that data was removed; placeholders preserve formatting.
3. Unhide all hidden rows, columns, and sheets first to ensure nothing is missed. Then re-hide if needed for layout.
4. File > Info > Check for Issues > Inspect Document. Select all checkboxes. Remove document properties, comments, hidden content, and embedded objects.
5. Save As a new file. Never overwrite the original.

## Why this is harder than PDF redaction

Excel was not designed with redaction in mind. PDFs have a single content stream that can be modified to delete text. Spreadsheets have data scattered across cells, formulas, caches, and metadata. Manual redaction is error-prone. For sensitive data, a tool that scans the entire .xlsx structure (not just visible cells) is meaningfully safer.
